AIR CONDITIONING QUOTES
How to Compare Air Conditioning Quotes
Two quotes can have very different prices because they include different equipment, installation work or warranties. Here’s how to compare them properly before choosing an installer.
QUICK ANSWER
What Should You Compare in an Air Conditioning Quote?
Start with the exact indoor and outdoor equipment being proposed, then compare system capacity, installation work, electrical requirements, pipework, condensate drainage, controls, commissioning, warranties and aftercare.
Do not assume two quotes describe the same installation simply because they both say “air conditioning”.
What Is Included?
Check whether the total covers all equipment, installation materials, electrical work, commissioning and finishing.
What System Are You Getting?
Compare exact equipment, capacity, number of indoor units and the reasoning behind the proposed design.
What Happens Afterwards?
Compare manufacturer warranty, workmanship cover, servicing requirements and who deals with problems after installation.
COMPARE LIKE FOR LIKE
The Cheapest Quote Is Not Always the Cheapest Installation
A lower quotation may simply include less work. One installer might include the electrical supply, condensate drainage, decorative trunking and commissioning, while another may price some of those separately.
The proposed system can also be different. One quote might cover a basic single-room installation while another uses different equipment, a longer pipe route or a multi-split design.
The aim is not to choose the most expensive proposal. It is to understand what you are actually receiving for each price.
Identify anything one installer includes that another has excluded.
Brand alone is not enough — check the exact indoor and outdoor models.
A good installer should be able to explain their proposed capacity, layout and equipment choices.
QUOTE CHECKLIST
What Should an Air Conditioning Quote Include?
Use this checklist when comparing proposals. If something is unclear, ask whether it is included before accepting the quote.
| Item | What to check | Why it matters |
|---|---|---|
| Indoor unit | Exact manufacturer and model | Lets you compare the actual equipment rather than just the brand. |
| Outdoor unit | Exact manufacturer and model | Different outdoor units can support different capacities and configurations. |
| System capacity | What has been specified for each room | Equipment should be selected for the room’s cooling requirement. |
| Number of rooms | Exactly which rooms are included | Prevents confusion where one quotation covers a different scope. |
| Pipework | Route and expected length | Longer or more complicated pipe routes can affect cost and appearance. |
| Trunking | Where visible pipework will be covered | Affects the finished appearance inside and outside the property. |
| Condensate drainage | How water will be removed | Cooling creates condensate that needs a suitable drainage route. |
| Electrical work | What supply and electrical work are included | Do not assume this is automatically included in every quotation. |
| Outdoor mounting | Ground feet, slab, brackets or other mounting method | Determines how and where the condenser will be installed. |
| Controls | Remote, app or Wi-Fi functionality | Included control options can vary between systems. |
| Commissioning | Testing and system setup | The system should be properly checked before handover. |
| Warranty | Manufacturer and workmanship cover | Check duration, conditions and who handles a claim. |
| Servicing | Recommended maintenance and warranty conditions | Some warranty arrangements may depend on maintenance requirements. |

SYSTEM DESIGN
Why Might Two Installers Recommend Different Systems?
Different proposals do not automatically mean one installer is wrong. They may have made different judgements about system layout, equipment position or how the rooms will be used.
Room Requirements
Glazing, room orientation, insulation, ceiling height, occupancy and internal heat gains can influence cooling demand.
System Configuration
One installer may propose several separate systems while another suggests a multi-split arrangement using fewer outdoor units.
Installation Route
Different indoor-unit locations or pipe routes can change installation complexity, visual impact and cost.

BEFORE YOU SAY YES
Air Conditioning Quote Red Flags
A quotation does not need to be complicated, but you should be able to understand what system you are buying and what work is included.
No Exact Equipment Listed
A quote that simply says “air conditioning unit” makes it difficult to understand what you are actually buying or compare proposals properly.
No Explanation of Sizing
Ask why that capacity has been recommended and what information was used to select it.
Major Work Left Unclear
Electrical work, pipework, drainage or mounting should not become unexpected extras after you have accepted the quotation.
Unclear Warranty
Find out what is covered by the manufacturer, what the installer covers and what conditions apply.
No Clear Outdoor Unit Position
You should understand where the condenser and external pipework will be located before installation starts.
Pressure to Decide Immediately
A significant home installation deserves enough time to understand the proposal and compare the details before committing.
CHECK THE INSTALLER
Don’t Compare the Quote Without Comparing the Installer
Most fixed residential split systems involve refrigerant work, so the people carrying out relevant work on F-gas equipment need appropriate qualifications.
The installation business also needs the relevant company certification where it installs, repairs, maintains or decommissions stationary F-gas equipment for others.
Ask which certification body the business is registered with if it is not clear from the quotation or company information.
INSTALLER CHECKLIST
Before Appointing an Installer
- Confirm the business details on the quotation.
- Check relevant F-gas company certification.
- Understand who will actually carry out the installation.
- Check warranty and aftercare arrangements.
- Confirm the proposed installation scope in writing.
- Keep a copy of the final agreed quotation.
YOUR AGREEMENT MATTERS
Keep the Final Agreed Specification in Writing
Under the Consumer Rights Act 2015, consumer services must be carried out with reasonable care and skill. Information said or written about the service can also become part of the contract where the legal conditions are met.
That is another reason to keep a clear written record of the equipment, installation work, agreed price and any important promises made before you proceed.
If the trader is responsible for installing goods supplied under the contract and the installation is carried out incorrectly, the Act also addresses incorrect installation as part of whether the goods conform to the contract.
MAKING YOUR DECISION
Which Air Conditioning Quote Should You Choose?
There is no rule that the cheapest, most expensive or most detailed quote will automatically be the right one.
The better choice is the proposal that gives you confidence in the system design, installation scope, equipment, installer and aftercare for your particular home.
Does the Design Make Sense?
You should understand why the proposed system suits your rooms and how the installer reached that recommendation.
Is the Scope Clear?
You should know what is included, what is excluded and whether anything is likely to become an additional cost.
Are You Comfortable With the Installer?
Good communication before installation is valuable when you are trusting someone to carry out permanent work on your home.

COMMON QUESTIONS
Frequently Asked Questions
Should I get more than one air conditioning quote?
For a substantial fixed installation, comparing more than one proposal can help you understand differences in system design, equipment, installation scope and price.
Why can air conditioning quotes vary so much?
Quotes may cover different equipment, capacities, room numbers, pipe routes, electrical work, mounting arrangements, controls and warranties. Compare the specification rather than the total alone.
What should I ask an air conditioning installer before accepting a quote?
Ask why the proposed system and capacity have been selected, where the units and pipework will go, what electrical and drainage work is included, what warranty applies and what happens if additional work is discovered.
Is a cheaper air conditioning quote a bad sign?
Not necessarily. A lower quote may be perfectly appropriate, but first check that you are comparing equivalent equipment and installation work and that important items have not simply been excluded.
